  • Specific Responsibilities

    • Manage the Executives’ calendars; schedule and organize meetings.
    • Manage and confirm travel arrangements (Air, Hotel, Car, Rail).
    • Submit Expense Reports; responsible for compiling and reconciling all receipts.
    • Manage incoming and outgoing calls in a timely manner.
    • Responsible for managing internal and external emails in a timely manner.
    • Meeting prep; ensure all meeting materials (Agenda, etc.) are ready prior to start time; responsible for ensuring spelling, grammar and layout are proofread and confirmed.
    • Responsible for ensuring executives follow up on all meetings / calls.
    • Responsible for meeting “minutes” and ensuring they are published in a timely manner, as directed.
    • Responsible for preparing presentations on PowerPoint / Excel, as directed.
    • Responsible for maintaining current contacts in Outlook.
    • Coordinate and manage luncheons for client meetings and/or sales summit events.
    • Collaborate on special projects / events, as directed.
    • Navigate online research projects.

    • Must be able to work well under pressure.
    • Must be savvy and resourceful and demonstrate strong problem-solving skills.
    • Team player.  
    • Proficiency in Word, Excel, PowerPoint, MAC and Windows.  
    • Professional Attire
    • Bachelor’s degree strongly preferred.
    • Must have a minimum of 3 years’ relevant experience.
