  • Specific Responsibilities

    PURPOSE OF THE JOB:

     Ensure all orders are picked and sent to warehouse in a timely manner to meet all required delivery dates
     Manage all customer bookings, paperwork and ticketing requirements correctly and in time to meet bookings and customer delivery dates
     Maintain manual for all customer delivery and logistical requirements

     

    RESPONSIBILITIES:

    Strategy & Innovation:
    • Understand all operational process from sales order to delivery in all divisions of the business (FOB, Landed, via China warehouse, International and Concessions)
    • Provide clear process manual for all activities under remit of the role
    • Be aware of delivery windows and targets for the business and understand the critical path.
    • Be proactive not reactive
    • Alert all issues to line manager immediately

     

    Operations & Results:
    • Responsible for delivery of sales order book for customers under remit.
    • Amend sales orders when advised after order confirmations have been sent.
    • Order all relevant tickets, labels for specific customers in time to ensure delivery dates will be met
    • Once allocated, ensure all picks are raised and passed to relevant warehouse using correct systems
    • Aim for 100% delivery to customer for every order on time and report to line manager on any shortfall.
    • Manage detail of any shortfall and balances
    • Once approved by line manager ensure any re dating of sales orders is processed accurately through the appropriate ERP system
    • Make timely delivery bookings for all deliveries as required on a customer by customer basis
    • Make bookings through customer specific booking portals as required and monitor progress for approvals
    • Manage shipping documentation as required, namely COO (Country of Origin) certificates where goods are leaving the UK/EU.
    • Ensure all booking approvals, references and delivery dates are advised to relevant warehouses in time to organise packing and collections
    • Liaise with transport companies as required
    • Maintain delivery schedules for key accounts and above to ensure accurate management.
    • Proactively chase any other team where necessary to complete tasks.
    • Organise wholesale returns (i.e. returns authorisations and pick-up requests)

     

    Customers & Relationships:
    • Understand the delivery windows expected by the sales team
    • Request all delivery and logistical requirements and supplier manuals for all new customers from the Sales teams
    • Provide all picks and liaise with warehouses to ensure timely deliveries
    • Check with customer manuals and Sales team for correct delivery addresses.
    • Provide all information for warehouses, customer warehouse bookings and transport where necessary
    • Develop relationship with DSV / Chamber of Commerce to ensure correct documentation for all export shipments.
    • Work with the China office for Direct shipments (checking correct paperwork requirements and COO where relevant)
    • Liaise with Inventory team to understand and discuss allocation of stock, dates and potential availabilities as and when required
    • Provide ongoing information of deliveries through Line Manager to Finance team.
