Specific Responsibilities

The Executive Assistant will provide executive level administrative support including the following tasks:  

 

  • Coordinating and managing busy Outlook calendar.
  • Arranging complex domestic and international travel within budgetary guidelines.
  • Expense report management and processing via Concur.
  • Managing a busy phone line. Appropriately screening and routing calls.
  • Assisting with gathering / creating Powerpoint presentations and other materials needed for meetings. 
  • Drafting correspondence on behalf of the Executive as requested.
  • Coordinating internal and external meetings including details such as invites, agendas, room procurement and arrangement with facilities. 
  • Routine office maintenance. 
  • Main point of contact for Executive's direct reports, internal and external customers.

Skills and Requirements

  • Bachelors degree preferred.
  • Previous experience in the apparel, accessory or entertainment industry is preferred.
  • Minimum of 5 years of experience supporting a senior level executive.
  • Seasoned professional with EA career objective.
  • Highly proficient in Microsoft Office Suite (e.g., Word, Excel, PowerPoint).
  • Excellent organizational, meeting planning coordination and project management skills.
  • Organized, independent, self-motivated with a problem solving mentality.
  • Professional demeanor and team player attitude.
  • Strong attention to detail, accuracy and confidentiality.
  • Must demonstrate adaptability to constantly changing schedules. Adept at managing complex daily calendars and budget expense tracking.
